Understand how inventory sync works, how stock fields are calculated, and how to track every stock movement across your connected stores.

Inventory Sync and Stock Management

Analision keeps stock levels synchronized across all connected marketplaces. When inventory changes—whether from a sale, a manual adjustment, or received warehouse stock—Analision can automatically push the updated quantity to every listing associated with that product.

How Inventory Sync Works

Each product in Analision includes an Inventory Sync toggle. When enabled:

  1. Analision reads the current available stock for that product
  2. It pushes the quantity to all associated listings across connected stores
  3. Every stock change (sale, adjustment, purchase receiving) is automatically synced

Stock Status Fields Explained

On the product detail and inventory screens, several stock-related fields help explain what is sellable versus reserved.

Order ReserveUnits reserved for pending orders not yet shipped
Batch ReserveUnits currently assigned to an active warehouse pick batch
AvailableOn Hand minus all reserves; the quantity available to sell

Example: A product may show 2 units On Hand, but if 1 unit is reserved for an open order, Available = 1. Analision syncs 1 to connected storefronts, not 2.

Manually Updating Stock

You can update stock directly from the Product Detail screen without creating a purchase order.

  1. Open the product you want to adjust
  2. Click the stock quantity field
  3. Enter the new value and save

This creates a Stock Update transaction in the product history log, giving you a full audit trail of what changed and when.

Viewing Stock Movements (Transaction History)

Every stock change is recorded in the product’s transaction history.

To view the full history:

  1. Open the product detail
  2. Click Transaction Details

The log includes:

  • Date and time of the movement
  • Transaction type (Stock Update, Purchase Receiving, Auto Pick, Batch Pick)
  • Quantity change (added or deducted)
  • Location where stock was moved
  • User who performed the action
  • Resulting stock level after the transaction

Troubleshooting: Inventory Not Updating on a Marketplace

If inventory is not updating on one of your marketplaces (for example, Etsy shows the wrong quantity), the most common cause is a credential failure.

Steps to Investigate

  1. Go to Stores and check the affected store status
  2. Look for sync errors, passive status, or expired credentials
  3. Re-enter the marketplace credentials and save
  4. Confirm the next sync updates the listing correctly

Note: In-app alerts for failed sync jobs are not yet exposed to end users. The Analision team receives backend notifications and can assist if the issue is reported.

Reserve vs. Available: Common Scenario

A common example:

  • 2 units are physically in stock
  • A customer places an order for 1 unit
  • The item has not yet been picked or shipped

Analision immediately places a 1-unit Order Reserve on the product.

This reduces Available stock to 1, and all connected storefronts are updated to reflect the sellable quantity. This helps prevent overselling before warehouse operations begin.

Once the order is picked, packed, and labeled, the reserve is cleared and On Hand is reduced accordingly.
